An approver can't approve invoices (Bills), or gets an error

What to do when an approver gets an error approving invoices (Bills) or can't see Bills assigned to them — including simplifying the Bill Approvals workflow.

In Vergo, invoices are called Bills. They're routed to the right approver through the Bill Approvals workflow, and the current approver approves them from the Bills section. This article covers what to do when an approver gets an error trying to approve, or doesn't see Bills assigned to them.

"I get an error every time I try to approve"

This can hit a single Bill or every Bill pending your approval. The most common pattern behind it is an overly complex approval route — a large number of approval steps added when the invoice is submitted, often combined with multiple steps being removed at the same time. That can leave the Bill in a state where approval errors out.

  1. Simplify the Bill Approvals workflow. In Settings → Bill Approvals, reduce the number of users/steps a Bill routes through. Leaner routing is less likely to error.

  2. Or assign the approver manually. Instead of relying entirely on automatic routing, assign the Bill directly to the specific person who needs to approve it.

  3. Approve on desktop. Bill approvals are done on the desktop web app, not mobile.

  4. If a specific Bill still errors, contact support with the invoice number and the Bill's URL. Some Bills need a quick backend update before they can be approved.

"I don't see the invoices assigned to me"

  1. Confirm you're the current approver in that Bill's approval chain — only the current approver sees a Bill as ready for them to approve.

  2. Refresh the page.

  3. If Bills you expect still aren't showing, contact support with the invoice number(s) and the approver's email so the team can check the routing.

⚠️ Note: an Admin or AP user can sometimes approve on another approver's behalf, depending on how your approval workflow is set up.

When contacting support about a Bill

Always include the invoice number and the Bill URL, plus the approver's email. That lets the team locate the exact Bill and either correct its routing or update it so it can be approved.
