User has the wrong role or can't access features they need

Roles in Vergo control what each team member can see and do. If someone can't access a feature or view they expect, their role is usually the cause — and an admin can fix it in a few clicks.

How roles work in Vergo

Every user has a role that determines what they can see and do. Vergo has three standard roles:

  • Employee — views and codes their own transactions and submits them for approval.

  • Project Manager (PM) — sees transactions and Bills for the jobs they're the PM on, and approves items in their queue.

  • Admin — full access, including all jobs and data, user management, billing, and account settings.

(AP staff are typically set up as Admins so they can see everything across the account.)

Common role-related questions

"I can't submit a transaction for approval"

This usually isn't a role issue — all roles can submit. The Submit button is greyed out when the transaction is still Pending or is missing required coding. See How to submit a transaction for approval for details.

"I can't see all transactions or Bills"

A PM is scoped to the jobs they're the PM on, so they won't see everything across the account. Account-wide visibility means the Admin role (or, for a PM, being the PM on more jobs — which is set in your ERP).

"I can't access billing or settings"

Billing and account settings are Admin-only. If someone needs access, an Admin updates their role or handles the task for them.

"I can't approve"

Only the current approver on a job — the PM in that job's approval chain — or an Admin can approve. Confirm the user is the assigned approver for that job (routing is set in Settings → Transaction Approvals and Settings → Bill Approvals).

How to change a user's role

  1. Go to Team → Users.

  2. Open the user's record.

  3. Change the Role in the dropdown and click Save.

  4. The change takes effect immediately.

If the right role doesn't exist

The three standard roles have fixed permissions. Custom roles are available as a paid add-on — contact your Vergo account manager or support if none of the standard roles fits.
