PM or AP clerk can't see their assigned projects

If a project manager or AP clerk logs into Vergo and their jobs or projects aren't visible, it's almost always a job assignment or role configuration issue. This guide explains how to fix it.

Why projects might not be visible

In Vergo, visibility into jobs is driven by the user's role and the job's PM assignment — and that assignment comes from your ERP. If a PM can't see a project, the usual causes are:

  • They aren't the assigned PM on the job — each job has one PM/approver, and that assignment is made in your ERP (Foundation, Vista, or Spectrum), not in Vergo.

  • The job hasn't synced yet — new jobs created in your ERP sync into Vergo on the nightly schedule, so a job created today may not appear until the next sync.

  • Their role — a Project Manager sees the jobs they're the PM for; an Admin sees everything.

  • The job is closed/inactive in the ERP — closed jobs may be filtered out of default views.

How PM-to-job assignment works

PMs are assigned to jobs in your ERP, not in Vergo, and each job has a single PM/approver. When a job syncs into Vergo with a PM assigned in the ERP, that PM is automatically added to the job's approval chain. To change the PM, update the job in your ERP; the change flows into Vergo on the next sync.

The automatic routing that adds the PM as an approver is configured in Settings → Transaction Approvals (card transactions) and Settings → Bill Approvals (AP invoices).

If the job isn't appearing in Vergo at all

  1. Confirm the job exists and is active in your ERP, with the correct PM assigned there.

  2. New jobs sync in overnight — wait for the nightly sync and check again.

  3. Need it sooner? Contact support and ask for a manual refresh — the team can re-pull your job data on demand. There isn't a self-serve manual sync button.

  4. Once the job is in Vergo with its ERP PM, that PM will see it (they may need to refresh or log back in).

"AP clerk" visibility

"AP clerk" isn't a separate Vergo role. AP staff are typically set up as Admins, which means they see all jobs, transactions, and Bills across the account rather than being scoped to specific job assignments the way a PM is.

Still not showing up?

If the job's PM is correct in the ERP, the job has synced, and it still isn't visible, contact support with the user's email address, the name or ID of the job they should see, and a screenshot of their current jobs list.
