How to submit a transaction for approval (and why the button may be greyed out)

Submitting transactions for approval is a core step in Vergo's workflow. If the Submit for Approval button isn't working or appears greyed out, there's usually a specific reason — and a fix.

How to submit a transaction for approval

  1. Open the transaction you want to submit.

  2. Complete the required coding — at minimum the Job, plus any Cost Code / Cost Type / GL fields your account requires.

  3. Click Submit for Approval. The transaction moves to Needs Approval and the approver is notified.

Submitting is available to all roles. On mobile you can submit a transaction once it has cleared — you can't submit a Pending transaction from mobile.

Why is the Submit for Approval button greyed out?

It's almost always one of two things — not your role (every role can submit):

The transaction is still Pending

A transaction has to be cleared (settled) before it can be submitted. While it's Pending, the Submit button is unavailable — wait for it to clear, then submit. (Declined transactions, and ones already in Needs Approval or Approved, also won't show Submit.)

Required coding is missing

If a required field such as Job (or a required Cost Code/GL) is blank, Vergo won't allow submission. Complete all required coding and the button becomes active. If your account uses Custom Rules to auto-code, a transaction that didn't match a rule may need its coding completed manually.

Submitting multiple transactions at once

You can bulk-submit on the desktop web app: select multiple transactions and submit them together. Bulk submit isn't available on mobile.

💡 Tip: Custom Rules can auto-populate coding fields, making submission faster. If your team repeatedly enters the same Job or Cost Code by hand, ask your Vergo admin about setting up rules.
